Note

The information contained herein is for informational purposes only and relates to administrative health services. It should not be construed as medical advice. A medical certificate is a legal document issued at the discretion of a treating doctor, based on a clinical assessment. There might be cases when a medical certificate is not issued after a consultation.

Understanding Medical Certificates

Prime Medic and Certificates issuance

Prime Medic is a platform that enables patients to connect with AHPRA-registered doctors for advice via video or phone consultations. Following a consultation, a doctor may issue a telehealth medical certificate when clinically appropriate. When issued by an AHPRA-registered practitioner, such certificates are generally accepted for work, university, or school purposes, subject to employer or institution policies.

This comprehensive manual details the entire procedure and covers the legal validity of digital certificates, the request submission process, and the measures we take to ensure strict privacy and data protection.

Online Medical Certificates - Definition, Certifications, and Issuers

A medical certificate, which is also sometimes called a "sick note" or a "doctor's certificate", is a legal document that a doctor can issue to confirm that a patient was unfit for work or study over a defined period due to an illness or an injury.

Who Can Sign a Medical Certificate?

Medical certificates can only be issued to you by those doctors who currently hold registration with the Australian Health Practitioner Regulation Agency (AHPRA).

Doctors available through Prime Medic are AHPRA-registered practitioners with experience practising within the Australian healthcare system and are required to follow current professional standards and regulatory requirements.

What Should Be Found in a Proper Certificate?

For a digital medical certificate to hold up in the meeting of both the legal requirements and those of the employer, it has to have:

  • 1
The doctor's full name along with their provider number
  • 2
The exact date when the doctor examined you
  • 3
The time span of the work absence
  • 4
A note that the doctor has done a clinical assessment of you

Legal Validity in Australia

As long as these carry the aforementioned verification features for digital document signatures, there is nothing to prevent employers and educational authorities from acknowledging them in accordance with the law.

It is essential for anyone seeking medical advice to know their doctor's credentials. Prime Medic's compliance process is a good place to start if you want to learn how we verify every practitioner on our platform.

Simple Process

The Stepwise Process of How Online Certificates Are Created

The process of requesting a telehealth doctor for a digital medical certificate is so easy and stress-free that it doesn't even feel like you are taking any steps. However, this is not a robotic process; it involves genuine interaction with a doctor in the clinic.

Step 1

Make Your Booking

You can schedule an appointment on the Prime Medic website. You will be asked to provide basic biographical information and the medical reason for your visit. This could be either "cough and cold" or "migraine and headache".

Step 2

Doctor's Visit

You communicate with a doctor through a secure, encrypted video or audio medium. The doctor will ask about your symptoms, prior illnesses, and current condition to provide a professional opinion.

Step 3

Physical Examination

The physician must be able to justify granting sick leave from work or school and thus determine that your absence is medically necessary. An ill leave certificate will then be issued only if the physician has formally recognised that you are unable to work or study. Also, Backdating certificates to days before the consultation is generally not allowed for doctors, except where there are very special circumstances permitted by law; even then, they must not be for more extended periods without evidence.

Step 4

Online Delivery

You receive a downloadable, printable copy of your medical certificate, which is sent to your email or your Prime Medic dashboard. It is a secure PDF document that you can send to your boss or school authorities.Of course, this simplified digital health document route runs in parallel with our general approach to handling various health documents. You may also read about how telehealth works, beyond medical certificates, and about eScripts and prescription regulations, if you are on medication.

Legal Framework

The Legality of It and Your Employer's Acceptance

The most frequently asked question from patients is whether medical certificates issued by online doctors are legal.

Yes, They Are Legally Valid

If you refer to the Fair Work Act 2009, you are entitled to personal leave when you are sick. Your employer is also entitled to ask for such evidence as would be convincing to any reasonable person.

A medical certificate by an online doctor who is an AHPRA-registered practitioner, and after a consultation, is considered valid evidence. The material has the same legal force as a paper doctor certificate that would be handed to you after an in-person consultation.

Legal Disclaimers

Genuineness

The certificate can always be traced back.

Veracity

You must be truthful to the doctor. Fraud occurs when a person misleads a medical practitioner to obtain a certificates.

Privacy

Typically, the certificate does not identify the specific disease but states that the patient has a "medical condition" that prevents them from working, thereby protecting privacy.

Throughout this exchange, your data rights will not be violated. Please review our data security policy for a complete overview of our data handling practices in the context of these lawful transactions.

How Physicians Are Checking Digital Medical Certificates

Prime Medic medical certificates include digital security features to verify authenticity.

1

AHPRA Number

The medical practitioner's unique registration number is displayed on every certificate.

2

Electronic Signature

Under Australian law, signed electronic documents have the same legal status as signed paper documents.

3

Verification Mechanism

The employer who received the medical certificate can verify its validity by contacting the issuing office (Prime Medic) to confirm that the details on the document match the records held by the practice.

You can view the quality assurance page for a thorough review of the extent to which we uphold these standards.

When to Use

Online Medical Certificate – When Is It OK to Ask for One?

While telehealth is a great way to get help for many medical conditions, it is not a substitute for emergency care. Telehealth consultations are commonly used for short-term or non-urgent health concerns. A doctor will assess whether telehealth is appropriate based on the information provided during the consultation.

List of Suitable Conditions

Telehealth consultations are appropriate for minor illnesses and injuries:

Book Telehealth Session

Visit a Doctor in Person If

You need to call 000 or go to a hospital if your symptoms are severe and alarming:

  • check Chest pain
  • check Shortness of breath
  • check Heavy bleeding
  • check Unconsciousness
  • check Severe and alarming symptoms

Important: Neither the telehealth doctor nor the telehealth clinic may care for patients with emergency conditions.

Emergency: Call 000

A telehealth doctor is a suitable choice for you if you have a minor illness or injury. You may book a telehealth session with a doctor right now.

Certificate Types

Different Types of Medical Certificates

Beyond standard sick leave certificates, we offer various types of medical documentation to meet your needs.

Carer and Dependent Care Certificates

The Fair Work Act contains provisions for Carer's Leave certificates as well, with which you can take a break to be with and help an immediate family member who may be sick or is injured.

Carer Certificates and How Telehealth Helps Carers

  • Coming to a waiting room is not the right thing to do if your child or spouse is sick, and at the same time, it is already hard enough to carry them around, and you may also be exposing other people to the infection. You can either book a telehealth consultation for your child (or, if your child is a minor, with them) or book one on your own behalf to obtain a carer certificate.
  • The doctor will look at the patient, who is the person you are caring for, and if they find the person in need of care, If clinically appropriate, the doctor may issue a carer certificate confirming the need to provide care to an immediate family member.
  • Being sick is just one of many family scenarios in which a person must care for their loved ones. Managing chronic illnesses or regular health problems in such cases is common. You can review the care plan continuity to see our support for your family's health over the long term.

Fit-to-Work and Return-to-Duty Certificates?

Sometimes employers may require a doctor's certificate (also known as a "clearance certificate" or "fit-to-work certificate") before allowing the employee to return to work. Industries such as mining, construction, and food service are typically affected.

The Assessment Process

  • During a telehealth visit, a doctor can assess your recovery by reviewing your symptoms and determining whether you are physically able to safely perform your work duties without exposing yourself or others to hazards.
  • Workplace Functional Assessment:
  • checkIf your job requires a physical functional assessment (e.g., a lifting test)
  • checktelehealth will likely not be appropriate
  • checkyou will need to be examined in person.

Note: Return to work should be done in conditions that are safe for everyone involved. To access these clearance assessments at a reasonable cost, review the available billing options for follow-up consultations.

What Is a Fit-to-Fly Certificate?

A fit-to-fly certificate is a particular type of medical document that is requested by airlines from:

  • Passengers who have recently recovered from contagious diseases (e.g., COVID-19, chickenpox).
  • A person with a pre-existing medical condition that could be aggravated by flying.
  • A woman who is more than 28 weeks pregnant (depending on the airline).

Your Doctor Evaluates Your Readiness to Travel by Plane

  • Doctors at Prime Medic can assess your fitness to travel, domestically or internationally. The medical practitioner will investigate the patient's history and current manifestations. Following an assessment, a doctor may provide a letter outlining the information reviewed during the consultation and whether, based on the information available at that time, there are any medical considerations relevant to air travel. Final acceptance remains subject to airline requirements.

Necessary: Always check your specific airline's requirements before booking, as some have their own particular forms.

There are many factors to consider when travelling, including healthcare. With knowledge of travel documentation rules, you will ensure your papers comply with the airline safety regulations.
